Role Description
The Accommodation Assistant is responsible for working to the standards and guidelines expected of a 4* property, which are laid out by the Accommodation Manager, to ensure the highest quality of care and cleanliness is always provided to the guests.

Role Responsibilities

Duties

  • Hoovering, dusting, polishing, cleaning, deep-cleaning, windows, glass, sills, skirting, doorframes, walls, washroom hygiene, bed linen changes, public areas etc. throughout the hotel
  • Using all cleaning products and materials correctly and with care following The Park Hotel’s established procedures
  • Ensuring housekeeping procedures are adhered to
  • Consistently reaching the highest standards of cleanliness expected
  • Work-based timekeeping

NIGHT MANAGER

DEPARTMENT: Front of House

OBJECTIVES:

  • To ensure that all guests receive a warm, memorable, and personalised welcome to The Park Hotel, setting the scene for their stay and ensure that guest needs are anticipated and that any requests are actioned.
  • Complete administrative tasks accurately and within given deadlines.
  • Be responsible for the security of the hotel and its guests overnight and to set meeting and private dining rooms to agreed standard and to guests’ specification.

MAIN RESPONSIBILITIES:

  • Ensure that the service offered by all team members is personal and memorable. That guest needs are anticipated, and requests followed up. Build relationships with guests, ensuring that they want to return to The Park Hotel.
  • Ensure good communication with all departments throughout the hotel.
  • Ensure all regular and VIP guests are known and cared for accordingly.
  • Handle, follow up and communicate any comments or complaints. Pass on to relevant HOD’s or Managers if unable to manage.
  • Be familiar with and promote hotel facilities and attractions within the estate. Assist guests with any requests e.g., information, making bookings, directions.
  • Ensure that all tasks are completed on each shift that a full and thorough handover takes place at the end of the shift.
  • Be fully conversant with handling of reservation inquiries. Be aware of all current offers.
  • Ensure you have a well-founded understanding of all Hotel regulations.
  • Build and effectively use guest history profiles.
  • Tour all areas of the hotel on a regular basis and report irregularities to relevant department heads and maintenance.
  • Ensure all access to the hotel is secure as required by hotel policy and procedure.
  • Perform any related security duties as required overnight.
  • Complete all incident reports and distribute to relevant departments.
  • Record any unusual occurrences or problems arising to the Duty Managers attention for the next day and take appropriate action.
  • Communicate, work with and build a good working relationship with Front Office Day team to ensure a consistent level of service is offered throughout the hotel 24 hours a day.
  • Set up rooms for meetings and private dining to the hotel standard, meeting guest requirements as outlined.
  • As a team, ensure that guest areas and offices are always clean and tidy.
  • In conjunction with the Accommodation Manager, clean public area carpets on a regular basis, with additional cleaning as and when required.
  • Check in late arrivals and check out early departures in line with hotel procedures.
  • Ensure that wake up calls are made promptly.
  • Take room service orders, prepare the food and drinks and deliver to guests.
  • Provide service in the Bar after the late shift team members have finished their shift and handle all cashing up in line with SOP’s.

Our Health and Safety

  • Report all potential and real hazards immediately.
  • Be fully conversant with all departmental Fire, Emergency procedures.
  • Attend all fire, health and safety training.
  • Ensure the safety of the persons and the property of all within the premises by fairly applying Hotel Regulations, by strict adherence to existing laws, statues, and reporting any possible hazards and conditions to the General Manager.
  • Have a general awareness of Health and Safety in relation to all tasks and activities undertaken in the department.

Checklist Guide to completion of your main responsibilities:

Security of the hotel

  • Locking down the building fully when on duty.
  • Conducting fire walks and inspecting fire equipment on walks.
  • Training the team on health and safety, accident reports, fire training, fire alarm systems, fire panel training, evacuation procedures.

Handovers

  • New template for nightly handovers, so all night staff can fill in and for managers to receive.
  • Clear and detailed handovers with the late manager and early manager on what is happening and what has happened.

Deep cleaning

  • New deep cleaning schedule, for tasks on a regular basis, to include all the below.
  • Carpets, floor polishing, high dusting, meeting room deep clean.
  • Following up on cleaning lists and check lists to ensure cleaning being done when he is not on shift.

SOPS-checklists

  • Revise all sops and checklists for all duties and sit with management (General Manager/Deputy GM) to agree new standards.
  • Taking over from late DM.
  • Full Passover given, go through function sheets.
  • Talking over the bars and managing the bar team, to make sure bars are stocked and cleaned and ready for next day.
  • Managing wash up staff, make sure that area is fully cleaned before staff leave.
  • Help manage the teams and help with labour cost controls.

Full control over nights rosters

  • Taking over the full management of nights rosters.
  • Still communicate with day porters and what is needed regarding rosters.
  • Create and maintain a good working relationship with day porters, work as one team.
  • Passovers with days and nights, better communication.

Meeting room standards

  • Making sure all meeting rooms are set correctly to the highest of standards, adhering to SOP’s.
  • All meeting rooms are to be spotless, presentable and star standards as per SOPs for all guests/corporate and private dining.

Training of the nights team

  • Full training given on all aspects of the role as per SOP’s.
  • Provide time to assist and ensure online Portal Training is completed.
  • Provide Training on the Use of the Snapfix app.
  • Email copies of all training completed, signed, and dated by night staff to HR.
